Seats Seats are not assigned or numbered. We use "open" seating, which means seats are available on a first-come, first-served basis. Doors usually open approximately one hour before each worship service, concert or session. Please be courteous and do not save seats, as this is unfair to others who arrive before your friends.
   
Attending Part of the Conference Prices apply to the TOTAL CONFERENCE only. We do not offer prices for specific days, concerts or sessions. You may skip any part of the conference you wish, but you must pay the full conference price, even if you attend only one day, concert or session.
   
Tickets & Packets You will NOT receive tickets by mail. We will provide a packet (at check-in) on the first day of the conference that contains either arm bands or blank name tags. These serve as your tickets to get into the conference events.
Packets will also contain a schedule for each person in your group, a lodging release form to take to your hotel if you booked lodging through us, and any other materials you will need for the conference.
   
Check-in at the Conference You may check in at the conference and pick up your packet any time after 12:00 PM on the first day of the conference. Our check-in/registration tables will remain open until the end of the first worship service that evening. Please be aware, your rooms may not be available until 4:00 PM or later.
We require a group leader to handle all transactions for their group. (A group = two or more registrants. Individual registrants are welcome and are their own group leader.) It is best if only the group leader or a designated person acting on behalf of the group leader (with their knowledge) arrives to check-in and pick up the packet. This reduces line time and congestion around the check-in tables.
When you arrive in town, go to the meeting place first. You will receive all the materials for the conference upon check-in.

Check-in at the Hotel After picking up your packet, go to the hotel where you will be lodging. The desk clerk may ask for a credit card imprint or a deposit if you want your phone turned on. The deposit is refunded upon checkout if no charges have been made to your phone.
   
Lodging Release Forms If you have booked lodging through us, it is very important to pick up your packet before you check in at your hotel. Your packet will contain a lodging release form. You must use this form when checking in at your hotel. Please be aware, your rooms may not be available until 4:00 PM or later.
   
Changes & Cancellations If you have changes to your group within a week of the conference, please notify the check-in clerk when you arrive to pick up your packet. Substituting a registrant with a new registrant is permissible without penalty and is the best way to handle a situation where the original registrant cannot attend. If you can't find a replacement, the Refund Policy will apply. If you need to drop rooms or cancel an entire group, please call our office (1.800.374.1550) as soon as possible so we can notify the hotel.
   
Late Arrivals Our staff is available to check in registrants from approximately 12:00 noon until the end of the first event the first evening, which usually begins at 7:00 PM and ends approximately 8:30-9:00 PM. If you expect to arrive later than that, please contact your hotel before 5:00 PM and ask them not to drop your room/s.

If you are so late that you miss picking up your packet, you will not have a lodging voucher to take to your hotel. Some hotels may not allow you to check in to your rooms without it.
   
Paying at the Door All registrations must be paid in full before the first day of the conference. Groups and individuals may add / register new registrants at the door the day of the conference PROVIDED seating space is available. If you have lodging booked through us, you must also have space available in your rooms for your additions.
   
Contacting Your Assigned Hotel To find out which hotel you have been assigned, see the lower section of your confirmation letter. You will find the hotel name, address, phone number and the number and type of rooms we have booked for you.
If you booked lodging through us and need to make special arrangements with your hotel such as for extra nights or roll-away beds, please understand that they will not have your name/s in their system until we are within approximately 14-30 days of the conference date. Hotels will have rooms "blocked" for our registrants under Women of Joy / Phil Waldrep Ministries until we send them our rooming lists containing individual registrant names.
   
About Rooms If you see a "slash" (/) symbol between room types on your confirmation letter, that means there are two of those types of beds in the room.

Example: 1 Queen/Queen(s)

This means you have one room with two queen beds in it.
Rooms may not be available for check-in until after 4:00 PM or later. You may want to ask your hotel about specific times.
Special room requests such as type of room, non-smoking, ground floor, handicapped, etc. are NOT GUARANTEED. The hotel, not Women of Joy, assigns rooms. We will make requests on your behalf, but the hotel may or may not fulfill those requests. If you need a guarantee, we recommend that you book your own lodging and attend the conference as a commuter (conference-only rate).
Some hotels will allow you to have five (5) people in one room. Our four per room rate will apply to the fifth person with the understanding that there will be no bed space available for that person. They will need to bring an air mattress, sleeping bag or arrange for a roll-away bed or cot. Extra charges for roll-away beds will apply through the hotel. Most hotels have limited availability of roll-away beds. It is recommended to make arrangements in advance.
If you need to add more rooms for your group after you've already been assigned a hotel, more rooms may or may not be available at that hotel. We prefer to not split groups. To accommodate the necessary number of rooms, we will try to find another hotel for your entire group.
We drop unused blocks of rooms approximately 30 days before the conference. Lodging becomes more difficult to provide after this time. Please finalize your plans as early as possible.
We fill the closest hotels first. Register early if this is important to you.
   
Dress Casual dress is appropriate for the conference.
   
Free Time The schedule devotes Saturday afternoon for free time. Your group may visit area attractions, but you must provide your own transportation.
